RIVER CITY COMMUNITY ANIMAL HOSPITAL RECEPTIONIST

JOB DESCRIPTION

Incredibly frustrating and simultaneously rewarding position that is not for the thin-skinned or faint-of-heart. Duties are varied and require flexible thinking and a great deal of tolerance, patience, and sincere responsibility. Intelligence and. sense of humor a plus. Must love animals and be able to speak by phone with humans of all descriptions, some who will be enormously grateful for your help, and some who will be rather feral in nature. Daily tasks include:

  • Answering the RCCAH appointment line mobile phone during regular business hours. Voice mail must be checked regularly and all calls returned in a timely fashion.
  • The appointment book must be kept updated and managed within spay day parameters (correct number of dogs or cats, gender numbers within limits, and weight ranges observed.)
  • Appointment confirmation calls must be made before spay days, within appropriate time frames.
  • Maintain very close communication with the Hospital Administrator and the mobile unit staff as needed.
  • Facilitate telephone communication between the mobile unit staff and clients or other individuals as requested.
  • Using professional medical terminology at all times and maintaining a positive and appropriate RCCAH philosophy in educating and assisting callers. A basic working knowledge of routine pet care and spay/neuter procedures is essential, as is the ability to give information on vaccination protocols, deworming, and sterilization procedures.
  • Ability to work in collaboration with other staff on the Newsletter or Website updating will be necessary.
  • Willingness to be available to assist on the mobile unit on occasion would be most helpful. Some inventory work and van cleaning and stocking may be required.
  • Maintain controlled substance logs according to DEA regulations.
  • Clerical duties to also include: scanning all completed medical records to a external hard drive, maintaining the RCCAH email address, emailing records to clients/rescue groups when needed and creating the RCCAH surgery calendar based on community need.

Negative Aspects of the Job:

The telephone may be ringing constantly at times and voice mail may also back up. A great deal of time may be required during the day to keep the calls answered and to do so in a timely fashion.

With minimal staff available to maintain the van and its inventory, assistance may be required at times to help with varied duties as needed; this may also include cleaning of cages on a spay day or sorting laundry or helping stock the unit.

Positive Aspects of the Job:

You get to work with animals and help them as well as those owners or caretakers who are actually willing to do something to help keep them healthy (and from reproducing.) You also get to work with the incredible but small RCCAH staff.

The telephone is a cell phone and can be answered wherever you are, primarily your home, so actual required travel is going to be minimal. There is a good deal of flexibility within the day as long as the phones are kept current.

You have a chance to make a real difference in the lives of thousands of animals.

You have the opportunity to learn a great deal about veterinary medicine and surgery if you are interested, as well as keeping up with animal welfare issues.

If you are willing to do some light traveling with the unit, you can have some pretty amazing adventures.

If you have any desire to work with advertising or the newsletter or website, you can make a huge difference there and exercise your creativity.

We keep a lot of chocolate on the van.
